This Guide collates the different areas in Tourwriter where you can append images.

Publishing Content of the Supplier

You can attach images to your Tourwriter database by linking images in your TourWriterData folder to the Publishing Content area of Tourwriter. Images in the Publishing Content area of Tourwriter are available to use in reports and also appear when pushed online.

You can refer to the Image Path section in the Publishing Content Subtab article to go through detailed steps on how to add an image to the Publishing Content area of Tourwriter.

There are 3 occasions when you need to update the image path in the Publishing Content area:-

  • When you move one or more images from a folder to another
  • Delete the image altogether
  • Rename the image

If the Image path points to the wrong image file, your report will display a small red cross in place of the image.

The Images Folder

It is significant to have a clear subfolder structure inside the Images folder on your online drive. You can start off by having 4 subfolders as shown below:-

Accommodation:– A folder to store images from your accommodation supplier.

Activity:- A folder to store images from your activity and tours supplier.

CoverImages:- A folder where you can store the cover images used in different reports.

Logos:- A folder where you can store the company logo along with the different agent logos.

Voucher Logo

You can append your agent’s logo image on the Voucher report. To do that:-

    1. Add the image path in the Voucher Texts area Tourwriter.
    2. Navigate to Tools > Setup > Agent Labels.
    3. Here, highlight the Agent for whom you want to add a logo image.
    4. Once you do that, access the Logo field under Voucher Texts > Header > Logo
    5. Click the folder icon to browse to an image in your Logo subfolder.

Adding Images to your Email Signature or Booking Email Templates

Your Email Signature or the Booking Email Templates used in Tourwriter can have your company logo included by making a few HTML changes in them. See Displaying Images and Website Links in your Email Signature or Bookings Emailer Template for help.

Image Specifications

Tourwriter requires images to be in Baseline JPEG format to be exported successfully to Microsoft Word. If some of the image files that you have are in Progressive JPEG format, this can cause issues while exporting the report. You can refer to the Image Format – Baseline JPEG vs Progressive JPEG article to understand the fundamental difference between the two image formats. Additionally, you can even convert images in Progressive JPEG format to Baseline JPEG using a tool called IrfanView. The Converting Progressive JPEG Images to Baseline JPEG Images using IrfanView article tells you how.

It is preferable that images added to Tourwriter have the following format:- :

  • Logo file format: JPEG format (*.jpg)
  • Resolution: 96 dpi.
    • Images with up to 200 dpi to 300 dpi can be used in reports, however, having a bunch of images with such high resolution may cause memory issues. It could even prevent the report from being emailed. The number of high-resolution images allowed in a single report will depend on your system configuration.
  • Dimensions: 18.94cm x 14.31cm (Width x Height) for non-cover images.

Note:– Panorama images should be 18.95cm x 4.05cm. Panorama images can be 3 images stitched together so the total should equal the size mentioned.

In a Supplier click on the Additional Tab and then the Publishing Content Subtab. Click the Yellow Plus to add Publishing Content.

Adding Publishing Content

In the drop-down menu (seen in the image above), you will see a list of options based on the Services entered into your Tourwriter database for this Supplier (i.e. Matakauri Lodge).
Note: All Services, including non-active Services will be shown in this list.

Publishing Content can be entered for the Supplier (i.e. a description of Matakauri Lodge) or specifically for each Service within a Supplier.

The differences between these two options is detailed below:

Supplier Publishing ContentPublishing Content Supplier
Choose the Supplier option to load Supplier Publishing Content. In the above image you would select Supplier: Matakauri Lodge
This option is perfect for providing an overview description of the Supplier. We recommend using this for Accommodation Suppliers as an overall description of the hotel and its facilities can be used for all room types (as opposed to loading Publishing Content for every room type).

Service Publishing ContentPublishing Content

To load Service Publishing select the Service option that you wish to load the Service Publishing Content for, which in the above image is Service: Funyaks, Service: Wilderness Jet – ex Glenorchy and Service: Wilderness Jet – ex Queenstown.
This option is perfect for Suppliers with different Services that require specific Publishing Content.

Once you have selected what you want to load Publishing Content for (from the list), the Content Chooser pop-up window will open (see image below).

Here you have two options:

  1. Create new Publishing Content by clicking the Yellow Plus.
    Creating New Content
  2. Select from the list of existing Publishing Content (i.e.Publishing Content that has been previously loaded into your Tourwriter database).Adding Existing Publishing Content
    Notes:
    The ContentName of your Publishing Content records needs to be clear if you wish to add this description to multiple Suppliers.
    You can sort any of the fields in the Content chooser into alphabetical order by clicking the applicable field heading.

Publishing Quick Notes allow you the flexibility to customise your client’s itinerary by editing information specific to a booking. Publishing Quick Notes about a specific booking can either be added to an Itinerary or to a Supplier. If your note is something that is unlikely to be used by another client/ customer you should add it to the Itinerary concerned. If however the note is likely to be used for other bookings you should add it to the Supplier concerned as a template. Templates can be added at Supplier level, and the templates will be available to you within each Itinerary.

Client Specific Publishing Quick Note
To add a client specific (one-off) note to a published document in Tourwriter , enter the note as a Publishing Quick Note into the client’s Itinerary.

  1. Open the Tourwriter bookings window (by double clicking on the specific booking line in the Bookings list)
  2. Click on the Notes Subtab
  3. Enter your client specific note in the Publishing 1 field (as seen below)

4. We now have a second Publishing Quick Note field under the Publishing Quick Note 1 field, titled Publishing 2. To know more, read the New Publishing Note post

Often Used Publishing Quick Note
If your note is something that is likely to apply to multiple clients we recommend that you set it up a template Publishing Quick Note in the applicable Supplier.

  1. Open the Supplier
  2. Click on the Details Tab
  3. Click on the Yellow Plus above the Booking/Voucher notes – available as quick-notes for bookings and vouchers area to add a new note
  4. Enter your Booking/Voucher note (in the example below this is “Please call Southern Alps Air 24hours prior to your activity to reconfirm your departure time”)

  5. Then, whenever you pull a Service into your booking, you can simply, open the Tourwriter Bookings window (by double clicking on a booking line), click on the Notes Tab and click the downward arrow beside either the Publishing 1 field or the Publishing 2 field, which will allow you to select a saved quick-note.
  6. You can then edit the note, if required.

Additional Notes
We can code a report to display this Publishing Quick Note either before or after the Publishing Content description (Body HTML).
If you would like to make use of Publishing Quick Notes, it is important to advise the Tourwriter team at the scoping stage. You may wish to enable Publishing Quick Notes for some or all Service Types.

Image Format

When saving JPEG files to the TourwriterData folder, please ensure these are saved in the JPEG Baseline format, not JPEG Progressive, format. Tourwriter requires images to be in Baseline format in order to export to MS Word.  

JPEGs come in two types: Baseline and Progressive.

Baseline:
A Baseline JPEG is an image created using the JPEG compression algorithm that will start to display the image as the data is made available, line by line. In a web browser, you can see JPEG images that are in baseline format when you see it slowly showing up, from the top of the image, to the bottom of it.

Progressive:
A Progressive JPEG displays an image in such a way that it shows a blurry/low-quality photo in its entirety, and then becomes clearer as the image downloads.

The cause is due to the way some of the JPEG images are saved within your TourwriterData\Images folder.

There are two methods for saving image files in jpeg format. They are Baseline JPEG and Progressive JPEG. Both formats will have the same size and data. The extension also remains the same. The only difference is how it displays.

Tourwriter requires images to be in Baseline JPEG format in order to export successfully to Microsoft Word. Some of the image files that you have may be in Progressive JPEG format, which is causing the export issue with Word.

Photoshop Users: If you have Photoshop, you have the option to save your image in the correct Baseline JPEG format. Please click here for further information.

To learn how to convert images from Progressive to Baseline, click here.

Once you have converted your images from Progressive to Baseline, generate your report file in Tourwriter again and try to export to Word. This should work now!

When you use Photoshop’s Save As feature (File > Save As) to output your work in JPEG format, you will be presented with the following Format Options:

Photoshop Formatting options

Baseline (“Standard”): The image will be displayed line by line on the screen. This is the one to select for TourWriter images.

Baseline Optimized: Same as Baseline, but optimized further using Huffman coding

Progressive: You can specify 3-5 scans, meaning that it will have between 3-5 phases before it shows the final image.

Please find below instructions on how to convert progressive images to baseline images.

We would recommend doing this for all images in your Tourwriter library (TourwriterData\Images folder). However, before starting the process below, please create a copy of all images for safe-keeping and store in a separate folder.

  1. Download IrfanView and IrfanView plugins (http://www.irfanview.com), by going to the Download page, and choosing a link to download from.
  2. Install the application
  3. Open IrfanView – Go to File and select Thumbnails from the dropdown menu
  4. In the new IrfanView window, navigate to the folder with your images in it
  5. If you need to select all images within one folder, right click the folder and select ‘Load thumbs from all subfolders’
  6. On the right panel, select all files you wish to convert in your TourwriterData folder
  7. Right click on the selection > JPG lossless operations > Lossless rotation with selected files

How to Resize Images

Please find below instructions on how to resize images using the free software Irfanview:

We highly recommend creating a copy of all images for safe-keeping and putting them in a separate folder before following the steps below.

  1. Download the free software called IrfanView and IrfanView plugins (www.irfanview.com). Go to downloads page and Install the application
  2. In Irfanview Go to File (top left) and select Batch conversion/Rename
  3. In the Batch Conversion Window ‘Add’ the images you would like to resize or ‘Add all’. Images selected will appear as a list in the bottom windowFigure 1
  4. Specify an Output Directory (on the left). A separate folder to the original so it is clear which folder holds the new resized images
  5. On the left, check ‘use advanced options (for bulk resize)’ and click ‘Advanced’
  6. On the Advanced options window go to the Resize section and chose the appropriate resize option eg 5 cm and then click OKFigure 2
  7. Back in the Batch Conversion window, Click ‘Start batch’
  8. A batch conversion done window will appear indicating # Files, errors or WarningsFigure 3
  9. Select ‘Exit batch’, you are Done!
  10. Now check the images in your selected output folder are the correct size, re file in the appropriate folder in your TourwriterData Folder before attaching to your Suppliers in your Database under Additional\Publishing Content\Images
