We have added a second Publishing Quick Note field to the Bookings Editor > Notes Subtab, which will allow you to add further information about a booking and display this in you clients’ quotations and itineraries.

To access the new Publishing 2 field, double click a booking, and switch to the Notes tab.

It also means that if you’ve previously been using the Private Quick Notes field to store additional Publishing text, you can make the switch and free up the Private Notes for features like the Supplier Auto Confirmation.

To amend your custom reports or sign up to the Supplier Auto Confirmation feature, please contact our Support team.

Now you can quickly add Pick Up and Drop Off dates, times and location information to a Booking, with your pre-loaded dates and times being automatically populated in the Booking Details Tab.

Perfect for Rental Car, Coach, Transfer and Tour Service Types, but can be added to any Booking. Simply create a Location Card for key destinations (e.g. Airports) in the Supplier record, then attach to the Booking by following the steps below.

  1. Go to Itinerary > Bookings > List, then double click your chosen Booking Item to open the TourWriter Bookings Window
  2. Complete the Pick Up and Drop Off dates and times in the Items Tab – This information will carry across to the Booking Details Tab, when loaded
  3. Go to the Details Tab, and click the yellow plus to open the Booking Location Chooser Window, where you can select a location
  4. Select a location from the pre-loaded options (to find out how to create locations, check out the Location Cards post), and click OK. The location will be added to the Details Tab workspace, including the Pick Up information as entered in the Items Tab
  5. If the date and time were not added to the Items Tab (step 2), you can add, or adjust, them here.
  6. Click the yellow plus and add your Drop Off location. This card will be automatically populated with the Drop Off date and time (if added to the Items Tab)
  7. Untick the box if you do not want the information to be displayed in Supplier booking emails

A completed Details Tab may look something like this:

Location information will be displayed in the Bookings Emailer (booking emails to Suppliers), as seen below, unless the box at step 7 has been unticked.

Location information is also displayed in Itinerary Reports for Clients. If your report is not displaying this information and you would like it to, please contact Tourwriter Support (support@tourwriter.com).

Our Suite of Reports just got even better! We’ve added 4 shiny new downloadable reports designed to deliver business insights at the click of a button. Whether you love diving deep into data, or simply need a quick bird’s eye view of what’s happening at any given time – there’s a report to suit.

See below for more information and download links for each report. Important: After downloading is complete, follow the steps included below for uploading and branding your chosen report(s).

PAX Tracker

This report allows you to see a detailed summary of where your clients are at any given time. It displays the Itinerary Name, number of pax, and the Agent booked, as well as the Date, Time, Service Type, Supplier, City and Service booked. Filtering options include by Date, Service Type, Agent, Itinerary status, Booking status, Branch, Department and Country.

Supplier Purchases YTD

Reports on the Room Nights, Pax, Quantity and Payables you’ve booked at each supplier for the current and previous years. If Grade 2 has been completed in the Supplier record, it will display in the GROUP column. Filtering options include by Date, Service Type, Agent, Itinerary status, Booking status, Branch, Department and Country.

Displays the Pax, Room Nights and Payables for your chosen date range and the same period last year. Filtering options include by Date, Agent, Itinerary status, Booking status, Branch, Department, Country and City.

Adding a Report to Tourwriter

To add one of these reports to your Tourwriter Database for use, follow the below steps:

  1. Download any report by clicking on the download links above
  2. Save the report into your TourwriterData\Reports\General reports folder
  3. In Tourwriter, access the reports area by going to Tools > Additional > Reports, or click on the Additional menu in the bottom left corner, and select Reports
  4. Right click the Custom Folder
  5. Select Add report
  6. Browse to the .rdlc file saved in Step 2 above
  7. Click Open
  8. Save your changes
  9. Double click the file to generate the report

Any Custom Reports can be renamed by right clicking the report name, once you have added it to Tourwriter.

Options filter

Each report has the option of filtering the information to be displayed. Once you have run the report, click on the Options Button in the top right corner of the reports area, and deselect (untick) the options you do not require in your report. Click Run to refresh your results.

Displaying your logo

Our new Suite of Reports above also allows you to display your company logo in the top right corner. The logo must be attached to your Default Agent Label under Tools > Setup > Agent labels. Follow the steps below to brand your new report(s):

  1. Save your company logo in your TourwriterData\Images folder.
    NB: The logo measurements should be around 7.5cm wide x 2.7cm high / 2.95 inches x 1.06 inches in order for the logo to appear right-aligned
  2. In Tourwriter, go to Tools > Setup > Agent labels
  3. Highlight your Default Agent label
  4. Below, go to Voucher texts > Header sub tab
  5. Click on the folder icon and navigate to your company logo saved in Step 1.
  6. Save your changes
  7. Back under Tools > Additional > Reports, double click the file to generate the report

We’ve added a Content Sort Order, and made some improvements to mappings and Accommodation display. Read on for the full update.

Content Sort Order for Travefy

There is a new Sort Order field in the Content Rule Setup which will allow you to define the order that your descriptions are published to Travefy.

This new addition is for you if you’re looking to describe both the Supplier and Service for Accommodation, or display Directions and Inclusions on your itineraries.

To update your existing Content Rule Templates, go to Bookings List > Tools > Push itinerary to online > Content rules.

To add a new Content Rule, click the . You can then select a new Content Rule from the range of options in each field. Each field is customizable, simply move your cursor over the field and you will see the drop down arrow appear. For an example see the image below, where the Content Type field drop down options are shown.

Each Service Type’s Sort Order will default to 1, but when adding the same Service Type again, you’ll have the option to specify which content is displayed first and second using the drop down.

Unmapped Service Types

You can now leave the Travefy Category ID field blank, and content will not be published to Travefy for that Service Type.

You can review or update your mappings from any itinerary by going to Bookings List > Tools > Push itinerary to online > Settings.

NOTE – if you’ve already assigned a Category ID, but would now like to remove it, simply select the text with your mouse and press Delete (DEL) on your keyboard. Click Save and any bookings with that Service Type will no longer be pushed to Travefy.

Changes to Accommodation

We’ve also made changes to the way Accommodation content is displayed. Instead of repeating every day, the full description and publishing notes (if applicable) will now appear on the Check In date only, with the Check Out date showing the Supplier Name only (no publishing content).

As well as bringing you a range of exciting new features in the July release, we’ve also made several enhancements and small fixes to our existing features below:

  • If you’re creating Group quotes in the Quote tab, you’ll no longer see any Pax Breaks display in the Bookings List. If you’re thinking about making the move to new Groups, but not sure where to start, we encourage you to watch the Introducing Tourwriter Groups webinar as a great first step.
  • When using the Bookings Search, inactive Services are no longer shown. Learn how to hide non-active items here.
  • You can now display End Times for Activity services on Booking Emails, great for same-day excursions! Download the template.
  • Do you use the Supplier Purchases report? This is now controlled by user permissions – if you can no longer see this report, please ask an Administrator in your team to enable it for you under Tools > Setup > Account Types.
  • You can now search for Bookings by Supplier Ref in the Search Form. Simply press CTRL F on your keyboard to quickly access and search your Itineraries, Suppliers, Contacts and Bookings.
  • The Audit Trail now records when a user deletes a booking.

Three new email template tags have been added, in the September 2016 release, for use in booking emails including: [!PaxRoomType], [!PaxRoomNo], [!PaxPaxType].

NB: In order to display these fields on booking emails, you need to add the passenger to your itinerary, then complete the Room Type, Room Number and Passenger Type fields.

Room Type and Room Number

If you’re managing groups and need to provide passenger rooming information to accommodation suppliers, you can now include the passenger Room Type and Room Number within the body of the email to assist the supplier in allocating the correct rooms to each guest.

The tags for Room Type and Room Number are [!PaxRoomType] and [!PaxRoomNo], respectively.

Passenger Type

Ideal for those needing to specify Drivers, Escorts and Guides on supplier emails.

The tag for Passenger Type is [!PaxPaxType].

We recommend creating a dedicated Rooming List Booking Email Template to send at the final stages of the booking process. We have prepared a template that includes the Room Type and Room No. tags mentioned above. Click on the link below to download a copy:
