Travefy is a new innovative way to share your tailor-made itineraries with your clients. Push your Itinerary from Tourwriter to Travefy, make any further edits, then share your content rich, interactive itinerary with your client. Invite your clients to view your Itinerary on the Trip Plans mobile app, allowing messaging through the mobile app.

This Post Covers:

  • The meaning of the Icons found by the Trip heading

Trip Heading

By the Trip heading you will see three symbols.

A Coloured Eye – When it is Green Published Icon, it shows that the trip is published. Whoever the Trip has been shared with can view the itinerary. When it is Red Unpublished Icon, it shows that the trip is unpublished. Only Agents and Collaborators can view the itinerary.

People Images – One person silhouette Itinerary Only Icon indicates the Trip is Itinerary-Only and no Collaborators can be invited. Multiple person silhouette Collaborative Icon means that the Trip is Collaborative, and you have the option of inviting Collaborators. Collaborators can view Published or Unpublished itineraries

Pencil – Click the pencil to open the Update Your Trip Details Box:

Update Your Trip Details

This box contains the following options:

  • Trip Name – Edit your trip name (Tourwriter Display Name).
  • Trip Start Date – Change your trip start date. Note: All dates down left panel in Travefy will change automatically.
  • Trip Logo – Add an additional logo to display in your Itinerary.
  • Price – Add/Edit the Price. Decide to display Per Person or Total. If you do not want to display the price, simply leave the field blank and it will not show on the published Itinerary. Please Note: you can use any currency symbol in this field.
  • Description – Add an introduction description for your Itinerary. This description is shown in the published itinerary, above the map:Itinerary Description
  • Status – Choose for this Itinerary to be Published or Unpublished. Itineraries are automatically Published. This means that anyone the Itinerary is shared with, can view it. It is useful to Unpublish the Itinerary when making changes; Collaborators can still access it, but any clients that try to view it will see a message saying that the Agent is working on the Itinerary, and provides the Agent’s email address and phone number as contact details.
  • Trip is – Choose for this itinerary to be Collaborative or Itinerary Only. Itineraries are automatically collaborative. This means you are able to invite Collaborators to edit the itinerary. Otherwise you can send a copy of the itinerary in a view only mode.
  • Messaging (in Mobile App) – Choose to Enable or Disable messaging between your clients (from the Mobile app) and yourself.
  • Email-to-trip – Automatically add booking confirmation emails to your itinerary using your trip specific email address. Travefy supports booking confirmations from these travel providers.

Options at the bottom of this box will allow you to either cancel, and close the Update Your Trip Details box, or Save changes and close the box.

Change Cover Photo (on right of Trip Details) Change Cover Photo

Select from Travefy’s database of pictures or upload your own photo. The best size image to use for this area is 600 x 400. Other sized images will automatically be scaled to fit, so it is best to choose an image without text.

In the right panel you can find the Discussion and Ideas + Polls. Clicking on each of these headings will change the view.

Discussion

The Discussion panel shows the discussion between Agent and Clients. There is a Message box at the bottom, allowing you to reply.

While typing a message, you are able to “@” a person involved with the Itinerary, or a Service that is a part of the Itinerary. The person that is mentioned will receive a message that they have been mentioned. You are also able to “@Everybody”, which will send an email alert of the message to all people involved.

Mobile App Discussion

Clients need to have the Mobile App downloaded in order for this aspect to be utilised. Through the App clients are able to send general messages from the main page of their itinerary in the Mobile App, by tapping on the message icon message-icon. If a Client would like to comment on a specific part of their itinerary, they can go to the itinerary > Day > Booking, where they can tap on the image to open the map and access to messaging (see image below of this view). When a message is sent through this part of the App, it will show in the main messaging section as re: Junior Lakeview Suite, Double.

Any posts on the discussion board will also trigger a notification on the Client’s mobile, if they have the Trip Plans app installed and linked to that particular itinerary.

All Clients that have been invited and downloaded the App can message on the same discussion board. So it is equally a helpful way for all Clients to know what is happening with the trip, and can also be a way for Clients to communicate while travelling.

Please Note: The Agent has the option to disable messaging in the Trip Plans app.

This post gives you an indication of what your client will see when you share your itineraries with them, both online, and via the mobile app.

Online Itinerary View

A Client can only view an Itinerary when they have been provided with a link. They do not have any options to make edits, which means that they also cannot see your Home Page or Edit Itinerary screen, only the Itinerary itself:

If the Agent has set the Itinerary to Unpublished, the client will see a message saying that the Agent is working on the Itinerary, and provides the Agent’s email address and phone number as contact details.

In this web based view (not on the Mobile App), the client does not have a way to message the Agent directly from the Itinerary. Instead, they would have to send their own separate email.

When an Agent shares the Itinerary with the Client, via email, the Client will receive the below email:

Email Itinerary Share

This email includes the following:

  • Company Logo at the top
  • Trip image and Name
  • Customised message
  • Link to Itinerary
  • Link to download Trip Plans app. If the Client is viewing their email on their Mobile, they can simply follow the link in the email to the App Store (iPhone) or Google Play (Android). They will be able to download the Trip Plans app from there. Alternatively, they will need to search for “Trip Plans” in their app store.
  • Itinerary Invite Code
  • Agent Details

Trip Plans Mobile App Details

Requires iOS 8.2 or later (iPhone 4s or above), or Android 4.4 and up
Size: 32.3 MB
Can view the itinerary offline and in airplane mode after initial download (Although will require internet if the Client would like to access the maps)

App View

When the Client first opens the app, they will be asked for their invite code. They will need to type out the code exactly, or simply copy and paste from email app.

They will then be able to view their planned Itinerary as an overview (see below picture). Within this view, each day can be opened to see the bookings on that day. The Agent’s phone number and email are also available on this first page of the app.

Clients can select “Navigate” to open the location in either a Maps application on their phone, or in the Internet (iPhone, automatically goes to Google Maps, Android gives user a choice).

When the Itinerary is set to Unpublished it shows the following within the App:

Switch between itineraries that have been shared with you (via email), by opening the menu (found in the top left corner) and opening YourTrips. You will be able to see all trips, whether they are Active, Past, or Cancelled.

App Messaging

In the top right corner is the Messaging icon App Message Icon. The number shows how many new messages are available for them to view. This keeps a record of the Itinerary’s messages between Clients and Agent. The Client can also choose to be notified of new messages (in their Mobile Settings). If they have this setting enabled, any posts on the Discussion board will trigger a notification on the Client’s mobile.

If a Client would like to comment on a specific part of their itinerary, they can go to the itinerary > Day > Booking, where they can tap on the image to open the map and access to messaging (see image below of this view). When a message is sent through this part of the App, it will show in the main messaging section as re: Junior Lakeview Suite, Double.

If more than one Client has been sent the Itinerary, they will all be included in the Discussion within this particular Itinerary. It is important for each client to be sent an email invite separately, as the code provided will be unique to them, allowing a distinction between people in the chat.

The Agent can choose to disable the in-app messaging option for the itinerary, by updating the trip details.
